Description: The Philanthropy Associate works closely with the Director of Philanthropy to carry out all organizational, strategic and administrative aspects of philanthropy activities. The Philanthropy Associate plays a critical role by providing administrative and professional support to the Office of Philanthropy and participating in all fundraising activities including donor identification and cultivation, donor relations and communications, and special events.

DISTINGUISHING CHARACTERISTICS

Knowledge:

Associate's or bachelor's degree in a related field

Experience:

A minimum of two years' experience in an administrative position, preferably in a not-for-profit development office

Skills and Abilities:

 Proficiency in Microsoft Word, Excel, PowerPoint, Outlook

 Ability to understand and administer all aspects of Bloomerang Donor Management System, including data entry and reporting

 Excellent organizational skills

 Excellent verbal and written communications skills

 Ability to present information concisely, effectively and accurately, both verbally and in writing

 Ability to prioritize and work independently with little supervision

 Excellent interpersonal skills

Physical Requirements and Working Conditions:

 Able to work in typical office conditions including sedentary work, walking and light lifting;

 Available for travel within the Greater Birmingham area; Some irregular hours (i.e. evenings and weekends);

 Able to operate golf carts to host cultivation tours with donors and community partners;

 Must have valid Alabama driver’s license.

SUPERVISION RECEIVED/EXERCISED:

Supervision is provided by the Director of Philanthropy.

Essential Job Functions

 Work with Director of Philanthropy to establish and execute annual goals, objectives and activities calendar

 Process donations and constituent additions/updates via Bloomerang (Donor Management Software) ensuring all donor and gift information is current and accurate

 Maintain foundation, corporation and individual donor files on Computer Shared Drive and via Outlook Contacts

 Monitor online merchant accounts and initiate transfers of proceeds to appropriate bank account(s)

 Work with Accountant to ensure aforementioned proceeds are properly recorded

 Assist with all aspects of donor cultivation processes including research, scheduling prospect meetings/tours and follow-up

 Design or work with Designer to create philanthropy-related printed materials, event invitations, etc.

 Manage production and mailing of donor-related communication, newsletters, invitations, monthly birthday cards, etc.

 Create guest lists, administer registration/RSVPs, manage event budget and other duties as assigned for cultivation events

 Oversee timely execution of donor recognition via on-site signage and “ribbon cuttings” and other events

 Prepare weekly acknowledgement letters to mail to Donors Assist in writing thank you notes/making thank you phone calls as needed

 Manage special campaign projects including Annual Membership Campaign, Donor Renewals and Upgrades, Lapsed Donor initiatives, Year End Requests and others as needed

 Manage annual telephone Thank-A-Thon in support of year-round donor recognition

 Prepare Philanthropy-related materials, agendas, reports and minutes for monthly Fund Board meeting

 Prepare Philanthropy-related materials and reports for monthly Commission meeting

 Provide administrative support and information as needed for RMP Junior Board

 Prepare weekly Philanthropy-related cash flow, charitable income, pledge payment and grant status reports

 Prepare charitable reports for annual financial audit Assist in maintaining current philanthropy presence and accuracy on Red Mountain Park website and on GuideStar Other duties as assigned by the Director of Philanthropy
